SEND Collective Ltd Policies

1. Safeguarding & Child Protection Policy

This policy applies to all tutors, staff, and associates working with SEND Collective Ltd.


Key Commitments

  • All tutors must have an enhanced DBS check before commencing work.
  • Any concerns about a child's welfare must be reported to the team via email (contact@sendcollectiveltd.co.uk)
  • Tutors must follow safe online tutoring practices and never engage in private communication with students outside approved platforms.
  • Parents or guardians must be aware of and consent to tutoring arrangements.

2. Data Protection & GDPR Policy

Purpose

SEND Collective Ltd is committed to handling personal data responsibly and in line with the UK GDPR and Data Protection Act 2018.

This policy applies to all personal information collected, stored, and processed by SEND Collective Ltd.

4. SEND Policy

Purpose

Applies to all students with SEND and the tutors who support them.

  • Every SEND student will receive a tailored learning plan after consultation with parents and specialists.
  • Tutors will receive training on inclusive teaching methods.
  • We will work closely with parents to monitor and adjust support as needed.

5. Behaviour & Conduct Policy

Purpose

We aim to create a respectful and supportive learning environment for all.

Applies to students, tutors, and parents.


Key Commitments

  • All students and tutors must communicate respectfully.
  • Bullying, harassment, or inappropriate behaviour will not be tolerated.
  • Tutors reserve the right to end a session if a student’s behaviour prevents learning.

6. Online Safety & Acceptable Use Policy

Purpose

To protect students, tutors, and parents when using online learning platforms.


Scope

Applies to all online tutoring sessions and communication.


Key Commitments

  • Tutors must use approved platforms (e.g., Microsoft Teams, Zoom).
  • Sessions must be recorded or monitored when possible.
  • Students and tutors must never share personal contact details.
  • Parents should supervise younger students during online sessions.

7. Complaints Policy

Purpose

SEND Collective Ltd values feedback and transparency. This policy outlines how to raise concerns.


Scope

Applies to students, parents, and staff.


Key Commitments

  • Complaints must be submitted in writing to contact@sendcollectivektd.co.uk,
  • We will acknowledge complaints within 48 hours and aim to resolve them within 10 working days.

8. Attendance & Punctuality Policy

Purpose

To ensure students and tutors respect scheduled sessions and maintain a consistent learning routine.


Scope

Applies to all students and tutors.


Key Commitments

  • Tutors must be punctual for every session.
  • Students must attend on time—late arrivals may result in shorter sessions.
  • Cancellations require 24 hours’ notice, except in emergencies.

9. Payment & Refund Policy

Purpose

To provide clarity on tuition fees, payment processes, and refund eligibility.


Scope

Applies to all clients of SEND Collective Ltd.


Key Commitments

  • Payments must be made in advance.
  • Refunds will only be given for cancellations with 48 hours’ notice.
  • Late payments may result in paused tutoring services.

10. Confidentiality Policy

  • All student information (SEND reports, personal data) is strictly confidential.
  • No information will be shared without parental consent, unless required by law (e.g., safeguarding concerns).
  • Tutors must not discuss student progress with anyone outside SEND Collective Ltd.

11. Code of Conduct for Tutors

Purpose

To outline professional standards for tutors.


Scope

Applies to all tutors working with SEND Collective Ltd.


Key Commitments

  • Tutors must dress professionally and maintain a positive attitude.
  • Tutors must prepare for lessons and tailor them to each student's needs.
  • Tutors must never engage in private social interactions with students outside sessions.
  • Any concerns about a child’s well-being or progress must be reported to SEND Collective Ltd.
